TERMS & CONDITIONS
Please take time to read the terms and conditions of WildPulse Adventures Uganda services. Confirming a safari with WildPulse Adventures assumes that you have read, fully understand, and accept the terms and conditions described below.

1. BOOKINGS
1.1 WildPulse Adventures provides transportation, accommodation bookings, restaurant meals, excursions, and other services in cooperation with independent suppliers.
1.2 All information detailed in client itineraries is given to the best of WildPulse Adventures’ knowledge and based on the latest information available. WildPulse Adventures cannot be held liable for modified information from third parties, nor for any obvious typing errors.
1.3 To reserve flights and gorilla permits, we require: full names as they appear in the passport, nationality, and passport number.
1.4 Before confirming a safari, the client must inform WildPulse Adventures of any preferences and special requests of the participants, including but not limited to medical needs, dietary requirements, disabilities, or any other special requirements. WildPulse Adventures will meet these requests where possible.
1.4 All packages are subject to availability and are not guaranteed until confirmed. Many lodges and hotels offered by WildPulse Adventures have limited capacity; therefore, it is essential to make reservations well in advance of your planned trip.
1.5 In the event that you wish to amend your reservation in any way, WildPulse Adventures will make the preferred adjustment where practicable and possible and confirm accordingly. WildPulse Adventures reserves the right to charge an amendment fee relative to the actual costs incurred, which will be added to the total invoice.
1.6 WildPulse Adventures reserves the right to change and re-adjust the tour schedule, transportation, accommodation, and services indicated in the itinerary in the event of unforeseen circumstances before arrival. Any changes will be communicated to the client as soon as possible
2. PRICES
2.1 The prices quoted for the various safaris are as per the itinerary and include the following services unless stated otherwise: accommodation in hotels, guesthouses, tents, or lodges; meals as indicated; sightseeing as detailed in the itinerary; park entrance and ranger fees; airport transfers where applicable; ground transportation; English-speaking driver/guides; and bottled mineral water in the vehicle.
2.2 Expenses not covered include international and domestic airfares, visas and passports, meals not mentioned in the itinerary, drinks other than the mineral water provided in the vehicle, tips and gratuities for guides and accommodation staff, laundry, travel insurance, and other items of a personal nature.
2.3 Prices on the website or quoted to clients are subject to change without notice and are not guaranteed until confirmed in writing.
2.4 WildPulse Adventures reserves the right to adjust prices at any time should there be fluctuations in exchange rates or increases in the cost of any element of the tour. Every effort will be made to minimize any increases.
3. EXECUTION OF THE TOUR
3.1 Wildlife viewing is a privilege and takes place in natural habitats; therefore, wildlife sightings cannot be guaranteed. Clients must exercise caution and follow instructions given by the tour guide and wildlife rangers at all times.
3.2 A gorilla or chimpanzee permit guarantees participation in tracking but does not guarantee that the animals will be in clear view.
3.3 Accommodation is based on twin or double rooms, tents, or bandas, with private bathrooms where possible. Single rooms may be available at an additional supplement, subject to availability.
3.4 WildPulse Adventures reserves the right to substitute equivalent or superior accommodation. If accommodation of equivalent standard is unavailable, the next best option will be offered or a superior option suggested, which may attract additional charges.
3.5 The mode of transport used depends on the number of clients and the route taken, based on the chosen itinerary. All efforts are made to ensure vehicles are roadworthy; however, no liability can be accepted for punctures, breakdowns, damage, or delays resulting from poor road conditions.
3.6 Experienced English-speaking driver/guides are an integral part of the safari and are the only persons authorized to drive WildPulse Adventures vehicles. The driver’s decisions regarding routes and logistics are final.
3.7 WildPulse Adventures reserves the right to alter routes, arrangements, or safari services, or to cancel scheduled tours in the event of unforeseen circumstances such as road closures, adverse weather, park or hotel issues, or security concerns. Alternative arrangements will be made where possible.
3.8 WildPulse Adventures reserves the right to employ subcontractors to carry out part or all of the services agreed upon.
3.9 WildPulse Adventures reserves the right to refuse participation or continuation of any tour if, in the company’s opinion or that of an authorized person, a client’s behavior is likely to cause danger, inconvenience, damage to property, or harm to the environment. No refunds will be made, and WildPulse Adventures will not be liable for any resulting expenses.
4. PAYMENT
4.1 All tours are confirmed upon receipt of a 30% deposit of the basic program rate. Gorilla permits require full advance payment at the time of booking.
4.2 The balance is payable no later than 42 days prior to the safari start date.
4.3 Bookings made within 42 days of arrival must be paid in full at the time of confirmation.
4.4 Failure to receive payment in accordance with the above terms gives WildPulse Adventures the right to cancel the booking.
4.5 Payment may be made by VISA credit card, bank transfer, or cash prior to the start of the safari. VISA payments attract a 5% service charge and must be made at least two months before the safari start date. Traveller’s cheques are not accepted.
4.6 All international transaction charges, including credit card service fees, are payable by the client
5. CANCELLATIONS AND REFUNDS
5.1 All cancellation requests must be submitted in writing and take effect on the date received by WildPulse Adventures.
5.2 Cancellation charges applicable to the basic program rate are as follows:
– 60 days or more prior to arrival: 10%
– 59–32 days prior to arrival: 25%
– 31–8 days prior to arrival: 50%
– 7–3 days prior to arrival: 75%
– 48 hours or less prior to arrival: 100%
WildPulse Adventures reserves the right to deduct all expenses incurred from payments received.
5.3 Gorilla permits and air tickets are 100% non-refundable.
5.4 No refunds will be made for unused services, late arrivals, or no-shows of any tour participants.
6. COMPLAINTS
6.1 WildPulse Adventures strives to exceed client expectations and welcomes feedback to improve service quality.
6.2 Complaints must be reported immediately to the WildPulse Adventures representative and the relevant service provider. If not resolved satisfactorily, complaints must be submitted in writing within 30 days of tour completion.
6.3 Liability cannot be accepted for complaints not reported in accordance with this procedure.
7. LIABILITY
7.1 While every effort is made to ensure services are delivered as agreed, WildPulse Adventures does not have direct control over third-party suppliers and cannot be held liable for their errors or omissions.
7.2 WildPulse Adventures shall not be liable for any loss, damage, or injury to persons or property.
7.3 The company is not responsible for loss or damage to baggage or personal belongings.
7.4 WildPulse Adventures shall not be liable for events beyond its control, including but not limited to flight delays or cancellations, force majeure, war, civil unrest, terrorism, government actions, strikes, epidemics, extreme weather, natural disasters, or mechanical failures.
7.5 It is the responsibility of travel agents or wholesalers to ensure clients possess valid passports, visas, permits, and required documentation.
7.6 Clients are responsible for taking appropriate health and safety precautions and are advised to seek medical advice prior to travel.
7.7 Clients are strongly advised to obtain comprehensive travel insurance before traveling to Uganda. Local evacuation coverage may be available in the event of a medical emergency while on safari with WildPulse Adventures.
7.8 WildPulse Adventures’ liability is governed by the laws of the country in which the cause of action arises, and all claims are subject to the jurisdiction of the relevant courts.
8. REGULATORY COMPLIANCE & STANDARDS
8.1 WildPulse Adventures operates in accordance with the tourism laws and regulations of Uganda and aligns its operations with the guidelines and standards set by the Uganda Tourism Board (UTB) and other relevant authorities. All services are delivered with a strong focus on responsible tourism, conservation, community respect, and client safety.
9. CLIENT CARE & COMMUNICATION
9.1 WildPulse Adventures is committed to clear, honest, and timely communication before, during, and after your safari. We aim to keep all information simple, transparent, and client-friendly while maintaining professional and legal standards.
9.2 Clients are encouraged to ask questions, seek clarification, and share preferences at any stage of the booking or travel process.
